«Where have I put the contract with the client’s signature? Do you know where the delivery note is? I have pending approval of an invoice and there is no way to locate it»? These are some of the situations that occur among employees when managing paper documents. A priori, they seem common and unimportant, and yet, as highlighted by TBS, experts in Cloud Paperless, they can have serious consequences. Employees lose, on average, up to 35% of their working hours managing paper-based processes, with the loss of productivity and efficiency that this entails.

600 hours a year searching for documents

And it is that the loss of time is one of the great damages of the manual management of these paper-based processes. It is estimated that in a company the total work hours that are wasted per year is 600. «Today there are still many companies that manage their most strategic business processes completely manually based 100% on paper, with what greatly reduces the productivity of workers «point out from TBS, to which they add» companies are not aware that a task such as «paperwork», at first glance, common, can seriously affect the income statements of the company».

Documentation costs: between 8% and 16% of a company’s total revenue

In processes based on document management, it is important to highlight that the annual costs related to paper represent 8 and 16% of the total income of a company. There are even actions that, when performing document management manually, are unconsciously repeated, since there is no automation of the processes. For example, a document is copied up to 20 times on average, without any type of control, at a cost of between 35 and 420 euros.

Savings of up to 80% with the automation of document processes

Having document management software that allows the automation of paper-based business processes would mean great savings for companies, at all levels. According to studies carried out by the Gartner Group, the cost reduction that would occur in an organization that has its automated documentary processes amounts to between 65% and 80% savings. The digitization of documents will save space in the historical archive, reduce tasks based on paperwork and the corresponding environmental cost. In addition, it is worth highlighting as an important pillar in this process improvement, avoiding the loss of documents and access to information in real time.
